From opening to closing
Every ticket follows the same path, and each step is a button your team can click:
- A member clicks a button or picks a menu option on your panel.
- If the panel has a form, they fill it in, and the answers are posted in the ticket.
- Koya creates a private text channel for the member and your support roles, with a welcome message and a Close button.
- With Premium, a staff member can claim it: the channel is renamed claimed-β¦, and the claim is posted and logged.
- Close asks for a confirmation, then moves the channel to your closed category, removes the member's access and renames it closed-β¦.
- Your team can then reopen it, delete it or, with Premium, generate the HTML transcript.
Inside a ticket, /ticket adds or removes a member, claims, closes, reopens or deletes it.
Open tickets with the form that fits
Each panel can show a Discord form before the ticket opens, so members give the right details up front. Free panels take up to 2 fields, Premium up to 5. A field can be:
- Short or paragraph text, with a placeholder, length limits and a required switch
- A list of choices, radio buttons or checkboxes
- A member, role, channel or mention picker
- A file upload, up to 10 files
- A short text that explains what you need
The answers are posted in the ticket, so the member and your team see the same thing. Uploaded files open with the View attachments button, for your support roles.
Tickets are channels, not threads
Each ticket is a text channel in the category you choose. When a category is full, Koya uses the next one or creates an overflow category. Name tickets with a preset such as ticket-0001 or with your own pattern built from {number}, {username}, {displayName}, {userId} and {panelName}. Members can hold 1 to 10 open tickets per panel, 1 by default.
One message, several ticket types
Each button or menu option can open a different panel, so one message can offer Support, Applications and Reports, each with its own support roles, form and category. Buttons can also require or block roles, for example to keep applications for verified members.
Set up a ticket panel in four steps
The first panel takes a minute in the dashboard.
- Add Koya to your Discord server.
- In the dashboard, open Ticketing and click Create Ticket Panel.
- Name the panel, then pick the channel it is posted in and your support roles.
- Click Publish: Koya posts the panel with an Open Ticket button.
Everything else is optional: categories, naming, the ticket limit, the form, every message and the log channel. Koya needs Manage Channels, Send Messages and Embed Links, and the dashboard warns you if one is missing.
A log channel for every panel
Pick a log channel per panel, and Koya records each step there, with who opened, claimed, closed, reopened or deleted the ticket:
- Ticket created
- Ticket claimed (Premium)
- Ticket closed and reopened
- Ticket deleted
- Transcript ready (Premium)
